Speeding up the sales process through digitalisation

Sales processes can be automated even with highly customised services. bbv developed a price management tool for ACTEGA Schmid Rhyner, which now automates 80 percent of manual steps and permanently speeds up the sales process.

Task: Speed up the sales process

ACTEGA Schmid Rhyner develops coatings for finishing high-quality packaging. Its innovative and high-quality UV, water and solvent-effect print coatings and adhesives are used for finishing and enhancing the touch and feel of high-quality packaging. In addition, the modern solutions offer increased counterfeit protection and enable efficient and cost-saving production processes. The company has a production site in Adliswil and distributes to over 100 countries worldwide.

Customers of ACTEGA Schmid Rhyner expect price calculations and resulting offers that are tailored individually to their needs. Until now, Schmid Rhyner employees prepared these offers and price calculations manually using information from a variety of different sources. The goal was to standardise and automate the process for preparing these documents.

Implementation: Custom software thanks to shoring

The project organisation was a bestshoring solution involving the bbv team in Vietnam and a bbv expert, who acted as a direct contact operating in both Switzerland and Vietnam. The bbv expert filled the role of proxy product owner (PPO) at the same time and coordinated collaboration with the team in Vietnam. This project organisation model ensured short communication channels and guaranteed quality assurance on the ground, while the engagement with the Swiss contact further boosted direct communication with the team in Vietnam.

The proxy product owner iteratively refined the requirements with respect to the price management tool. When it came to setting prices and granting discounts, it was important that aspects such as production costs and profitability were borne in mind at all times for each individual customer. To do this, the information from various sources was prepared and displayed. The approval process is now also incorporated in the tool and automated.

The collaboration was very constructive. Feedback was provided promptly and effectively, which allowed the changes discussed to be added to the tool during the next sprint in each case. During each review, the customer sought direct contact with the team in Vietnam, which prevented misunderstandings and ensured that efficient progress was made.

While this agile approach was new territory for the customer, the benefits were clear; within a short time frame, the customer received a bespoke product on time and within budget that met all expectations. The new tool automated 80 percent of manual process steps and reduced the error rate significantly.

  • Greater process efficiency: 80% of manual process steps were automated, thus permanently speeding up the sales process.
  • Enhanced quality: The error rate involved in preparing offers was reduced significantly because the calculations carried out by the tool are based on ERP data that is updated on a daily basis. The approval of the final offer is now also automated and transparent.
  • Keeping an eye on costs: Because the EBIT is displayed for each client position, Schmid Rhyner sales employees will find it much easier to prepare an offer that is cost-effective for both sides.
